5 Things to Consider When Choosing Your Event Venue
Are you looking for the perfect event venue location? Choosing the venue is huge when planning an event. There are many choices to be made, but when planning, you’ve got to be on top of everything. Scoping out the right venue can make or break an event.
You will likely already have your budget outlined, along with the number of attendees to the event and the nature of the event. When you have these things understood, you can search for a venue that will fit your parameters. Try to have the event venue booked up to six months of advance—meaning that this will likely be your earliest and first decision!
As for choosing the venue itself, check out these five tips.
1. Keep Cost in Mind
Venue cost down means more money for entertainment and catering! Food and beverages, as well as entertainment, are important for a party, so if you need money to make the rest of the party happen, don’t go for the most expensive place in town. Certain days of the week can also cost less, so if you can be flexible on the booking date, consider it!
2. Ambiance
A little ambiance is important in a venue! The style of the architecture and the interior of the building will matter for a party! Take into account how many guests you will have at the party as well. A big party requires different special features than a small gathering that is supposed to be more intimate. You’ll also be able to select the food, entertainment, and the decorations accordingly.
3. Services & Accommodation
Ask these questions:
- Does the venue have a kitchen?
- Is outside catering required?
- Do they have a facility fee?
- Do they have chairs and seating provided?
- Do they partner with entertainment or catering services?
- Can you bring in your own food and beverages?
- Do they provide a clean-up crew?
- Is the venue set up for AV?
4. Location
If you need a certain geographical requirement for travel or ambiance, keep that in mind! If the event needs to be near an airport or hotels, make sure you select a venue that is in proximity.
5. Capacity and Minimums
Check that the capacity lines up with how many people will be attending. You will need to know the capacity of the venues to figure out if it will be able to hold the amount of guests. The final limit on a building is the defining factor in how many people can fit in, so be sure to take it seriously. Call the venue and see what type of capacity their venue has. If it works for the type of party that you will be having, go for it! Book it. If it falls short however, then consider getting a venue that will more suit the mood and bodily requirements.
Booking an event venue doesn’t have to be difficult! Find out all the details on what your party requirement will be for a space and then follow through. If you do the job right, you’ll arrange for a great event and a great venue in which to hold it. It doesn’t have to be stressful!
